How to prepare my suppliers for an analysis wave?
Learn how to prepare my suppliers for an analysis wave, with an email template and key resources to share.
Your role as a brand
Your involvement plays a key role in collecting reliable data from your suppliers. To get the best results, we highly recommend that you:
- Introduce Fairly Made to your suppliers before each analysis wave, and share your CSR goals with them.
- Point suppliers to the right resources when they need help. Start with the existing resources below; contact a Fairly Made team member only as a last resort.
- Help your suppliers identify the right products, for example when they can’t identify a product or an order, or when a product has been cancelled or carried over.
Fairly Made’s role
- Onboarding and reminders: automated emails sent every week to all identified suppliers (your direct suppliers and their upstream suppliers).
- Technical support: if suppliers have any difficulty using the platform or the forms, our team is here to help.
- Resources: webinars, help center, chatbot and more.
Introduction email
Here is an example you can adapt:
Dear partner,
As part of our growing CSR objectives and the rapidly changing legal landscape, we have asked Fairly Made to help us better understand our supply chains and measure the environmental impact of a selection of our products.
This data will not be used for commercial purposes. It helps us comply with current and upcoming laws (AGEC law, French Environmental Cost, due diligence, etc.), highlight the good practices of the suppliers involved in our production (certifications, use of renewable energy, etc.) and calculate the environmental impact of our products (company carbon footprint, eco-design strategy, etc.).
Your cooperation is essential to the success of this project. We count on your responsiveness and transparency, and we value partners who understand and support our CSR commitments.
Kind regards,
Tips:
- Explain your goals clearly so your suppliers feel confident about the process.
- Highlight what matters most to you, for example main processing countries (AGEC), traceability depth, raw material origin, or collecting transaction certificates (TCs).
- Share clear start dates or periods for data collection so your suppliers can plan the time they’ll need.
